Ticks
At Camp W, we take ticks very seriously. During the summer, we do regular tick checks. Here also is a link to our Policy for Ticks. Ticks are everywhere, but with regular checks we can help keep them at bay. Bug sprays are very effective, but we prefer natural repellents applied to clothing or skin. Deet is allowed and able to be applied by campers as needed. Another effective option is clothing only applications like permethrin that a single application should last the whole session of camp. We also employ many natural mitigation techniques that encourage ticks natural predators to join us through the year to keep the population in check.
Food & Allergies
We are proud of the delicious, nutritious Vegetarian meals that we serve and how campers participate in various aspects of meal production by working in gardens, collecting eggs, learning to cook, cleaning up, and other activities. We also ask in advance to learn about camper allergies with our forms and do our best to reasonably accommodate all that we can (such as peanut, egg, etc), but our open air kitchens do have limitations.
We believe that food service is an integral part of our camp community. Breaking bread together helps to create a sense of community and comfort. We pledge to provide whole food that is nutritious, healthy, alive in flavor, aesthetically pleasing, and presented reverently to our guests and staff. We are committed to providing food services that support a sustainable future. We incorporate the community philosophy of Camp W to maintain and develop a healthy social and working environment. We pledge to take a stand on many issues surrounding our food supply, creating a socially responsible environment. To this end, we strictly adhere to the following principles:
We provide meals that are as organic possible.
Everything we serve is freshly prepared from scratch using authentic ingredients.
Menus and recipes are created by our Chef Heather who has a Masters in Dietetics based upon feedback from our campers and community. The Camp W Kitchen has the unique practice of empowering camper chefs to make creative decisions in menu planning to ensure truly complete nutrition.
We use healthy cooking techniques such as steaming, broiling or grilling to maintain the flavor and nutritional value of the food.
We offer 100% vegetarian nutritional choices.
We provide sustainable and locally grown, usually our own, produce & eggs or from Boyd Farm as well as Circle Mt CSA when we need additional quantities. Many of our ingredients are served within 24 hours of harvest.
Our oils and sweeteners are the highest standard available.
These principles foster many partnerships within our local community. We recognize the role we fill in these relationships and take great care to honor our partnerships.
Medications
CW can only administer prescription drugs in accordance with direction from licensed medical personnel (not a parent or guardian). CW must have either a written prescription or the original labeled bottle of medicine; and you must supply our camp nurse with enough medication for the camper’s time at camp. You are required to provide a doctor's written order and information on any medication (prescription or O.T.C.) that your child may be taking during programs. All medication must be in its original container. When you sign your child into the program a designated instructor will sign in any medication and will carry it until needed by your child. When the program is over, be sure to sign out your child's medication. We do not administer anything without a prescription including vitamins and OTC drugs from home.
Physical & Behavioral
Campers at CW must be able to move daily on foot over uneven and natural terrain. They must be able to sleep outside in rustic wooden or canvas structures with other campers and staff. They must be able to lift and carry a backpack for hiking and trips, as well as eat provided meals and hydrate regularly. We ask that all campers follow directions and participate willingly in camp activities, daily chores and community living activities, and; refrain from violence, verbal assault, bullying or any similar behavior. Campers dismissed for violence, verbal assault, bullying or any similar behavior are not eligible for refunds. Camp leads from the heart in all interactions and we follow a “Nurtured Heart” or “Positive Discipline” approach.
Refund & Cancellation
There will be no refunds given for cancellation of programs for weather-related reasons. Whenever possible we try to offer a later session or program as an alternative.
Should you choose to cancel an enrollment for any reason, our refund policy is as follows:
1. If you cancel 60 or more days prior to the program starting date, you are entitled to a full refund, minus the deposit of not more than $200.
2. If you cancel between 59 and 30 days prior to the program starting date, Camp W will retain half the program tuition in addition to the deposit.
3. If you cancel fewer than 30 days prior to the program starting date or after the program has begun, there will be no refunds.
**No refunds will be given for homesickness related withdraws.
***Over half of our total expenses for the year are spent prior to any on-site programming, and are covered entirely by tuition, which includes the $200 non-refundable deposit.
The elves begin in November, gathering interest and preparing for the registration season. Our hiring team begins accepting and reviewing applications in September in the hope to have all our staff hired by January so as to guide new staff through the pre-camp work before their arrival. Numerous facility improvements are done in the empty Fall and Winter.
In January, we have a large crew preparing for the summer — investing in it. Although Camp W is magic, and we’d love to magically have staff, campers, site, and everything else materialize by the end of June, it is love and hard work from employees and volunteers, not magic, that makes the summer happen.
Camp "To Bring" Policy
For your child's safety and enjoyment, it is essential that he or she has what s/he needs on every day of our program. If even one child is unable to stay warm, we may need to shorten our outside time for safety. If your child arrives at camp without the proper gear, our staff may decide it is not safe for her or him to stay. In this situation you would be asked to return with your child later in the day and with adequate gear.
It is part of our job to help you learn how to dress your child appropriately for our program.
Please use our packing lists for the Camp your child is enrolled in for exactly what we think you will need.
LOST & FOUND
We ask you to label everything because its inevitable that items will be miss placed at some point during Campers stay. We have at least two “Lost & Found Fashion Shows” each week and do our best to help campers keep track of their items, but we still often end up with a large pile of items. Labeled items are much easier to find owners, but items not claimed end up getting donated after two weeks of being unclaimed. If we find an item of yours and we can ship it, but families are responsible for all associated shipping expenses.
Scholarship Information
Camp W is committed to making our programs available to as many people as possible. To this end, we generate scholarships via our sliding-scale fee on a program-to-program basis. Any contributions made over the “True Cost” of the sliding scale for all our programs is considered a contribution to our scholarship fund. We also have a few community partners whom donate yearly and those funds are applied for via an application that includes an essay submitted by the perspective camper. Thus, scholarships are limited to the sum of these funds and are awarded based on equitable distribution.
What to know about scholarships before applying:
The maximum scholarship we can supply for any program is outlined below by program type.
Full scholarships are considered under extenuating circumstances, and on a case by case basis, but are very rare.
Scholarship applications must be submitted a minimum of 30 days before the program start date.
Applications must be submitted no later than June 1st.
Maximum scholarship by program:
Adult Workshops: 50% of program cost up to $75.
Summer Camp: $75 per week of summer camp.
Essay based award: $100 per awarded Camper.
How to apply:
When submitting a scholarship application, please remember that no space can be held without a deposit. If participation is contingent upon scholarship funding, please submit your scholarship application with a check or credit card payment for the deposit of $200 in order to hold your spot in the desired program. After submitting your scholarship application, please also complete the Registration Form for the program your child would like to attend.
We will often get back to you about your scholarship application often within one week of submission.

Late Pick-Up Policy
Our staff have families, too! If your child remains in our care beyond the appointed pick up time we reserve the right to charge you for the additional supervision costs incurred. The cost is $15 for each fifteen minute increment or portion thereof. By signing the registration form you agree to this policy and agree to be charged accordingly.
